By creating an account or using the Service, you agree to be bound by these Terms.

3. The Service
RepActiv provides software tools that allow businesses to:
- send feedback surveys to their customers
- collect and store customer responses
- generate draft review content based on those responses
- optionally direct customers to third-party review platforms
RepActiv is a software platform only. We do not act on your behalf outside of the Service.
4. Your Responsibilities
You are responsible for how you use RepActiv.
You agree that you will:
- comply with all applicable laws and regulations
- comply with the terms and policies of third-party platforms (including Google and Trustpilot)
- obtain any necessary permissions or consent before contacting your customers
- ensure that your use of the Service is fair, lawful, and not misleading
You remain fully responsible for any communication sent to your customers using RepActiv.
5. Ethical Use
RepActiv is designed to support fair and transparent feedback collection.
We do not support or encourage:
- review manipulation
- fake reviews
- misleading or deceptive practices
You agree not to use RepActiv in a way that breaches platform guidelines or misrepresents customer feedback.
6. Third-Party Platforms
RepActiv integrates with or directs users to third-party platforms such as Google and Trustpilot.
We:
- do not control these platforms
- do not influence their policies or enforcement decisions
- do not guarantee any outcome, including review publication, ranking changes, or account status
We are not responsible for:
- removal of reviews
- changes to visibility or rankings
- suspension or restriction of third-party accounts
Any actions taken by third-party platforms are outside our control.
7. No Guarantees
RepActiv does not guarantee:
- an increase in reviews
- improvements in ratings
- business outcomes or performance
Results depend on many external factors beyond our control.
8. Acceptable Use
You agree not to:
- send spam or unsolicited communications
- use the Service for unlawful purposes
- attempt to manipulate review platforms
- misuse customer data
- interfere with or disrupt the Service
We reserve the right to suspend or terminate accounts that breach these terms.
9. Accounts and Access
You are responsible for:
- maintaining the security of your account
- ensuring your login details are not shared
We may suspend or restrict access if:
- payment fails
- misuse is detected
- these Terms are breached
10. Pricing and Billing
- Subscription price: £69 + VAT per month
- Billing is monthly via Stripe
- Payment is taken in advance
You authorise us to charge your selected payment method on a recurring basis.
11. Free Trial
We may offer a 14-day free trial.
- A valid payment method is required to start the trial
- Billing begins automatically at the end of the trial period
- You may cancel at any time before the trial ends to avoid charges
We may send reminder emails prior to billing.
12. Failed Payments and Suspension
If a payment fails:
- your account may be suspended immediately
- access may be restored once payment is successfully completed
We reserve the right to restrict access until payment is resolved.
13. Cancellation
You may cancel your subscription at any time.
- Your account will remain active until the end of the current billing period
- No further charges will be made after cancellation
14. Refund Policy
Fees are non-refundable.
We do not provide refunds for:
- unused time
- partial billing periods
- failure to use the Service
In exceptional circumstances, we may offer a refund at our sole discretion, typically limited to one month’s subscription.
15. Data and Privacy
RepActiv acts as a data processor on your behalf.
You are responsible for:
- ensuring you have the right to collect and use customer data
- complying with GDPR and other applicable laws
We store:
- survey responses
- generated review drafts
We may process and send emails on your behalf using third-party providers.

16. Service Availability
We aim to provide a reliable service but do not guarantee uninterrupted access.
We may:
- update or modify features
- suspend access for maintenance
- improve or change functionality over time
17. Limitation of Liability
To the maximum extent permitted by law:
- we are not liable for indirect or consequential loss
- we are not liable for loss of business, revenue, or reputation
Our total liability is limited to the amount you have paid in the previous 3 months.
18. Account Retention
Following cancellation or suspension:
- account data may be retained for up to 3 months
- after this period, data may be deleted
19. Changes to These Terms
We may update these Terms from time to time.
Continued use of the Service means you accept the updated Terms.
20. Governing Law
These Terms are governed by the laws of England and Wales.
